Post-closing QC requires reviewing loan packages for missing signatures and critical documents. Previously, analysts received daily assignments via static spreadsheets, used handwritten checklists that varied by state and loan type, then re-typed those notes into emails. In a remote setting, this created data security risks and major operational bottlenecks.

This spec details a validation engine designed to replace that legacy workflow. By using context-aware digital forms and automating retention emails, this system eliminates "read-write-type" redundancy and enforces checklist accuracy.

2. The Problem: The "Read-Write-Type" Loop

The legacy workflow forced analysts to rely on redundant data entry:

  • Context-Blind Checklists: Document requirements change based on mortgage type and state. Physical checklists forced analysts to manually cross-reference variables, leading to missed signatures.
  • The Triple-Touch Bottleneck: Analysts had to read the digital file, write missing items on a notepad, and then type that same list into an email for retention tracking.

3.1 Automated Intake & Dynamic Routing

The system removes the disconnected morning spreadsheet and the burden of memory. It automatically ingests the daily assignment roster, pre-loading the analyst's specific queue. When a user opens a file, the engine dynamically renders the exact checklist required for those parameters (e.g., "FHA Loan" in "Texas"). This systematically ensures the correct items are reviewed every time.

3.2 Automated Retention & Communications

The application eliminates "read-write-type" duplication. Once the analyst completes the digital checklist, a single click compiles the missing items and generates the formatted email for retention tracking. Zero manual transcription is needed.

3.3 Centralized "Pending" Pipeline
